Attaching a File



Attach Word docs, PDFs, spreadsheets and more to your records in Spectra/myStratus Desktop. Files can be attached to clients, sessions, invoices, orders, and tasks.

What type of files do you want to attach? We can think of a few!

  • Proposals

  • Contracts

  • Event planning guides

  • Scan of a handwritten form

  • Job sheets

Attaching a File

Follow these steps to attach a file to a record in Spectra/myStratus Desktop:
  1. Open the record (client, session, invoice, production order, or task).

  2. Open the Attachments tab of the ribbon.

  3. Click Attach File.

  4. Browse to the file you want to attach and click Open.

  5. Click Save & Close on the ribbon to save your changes (or use CTRL-W).


Deciding Where Attachments are Stored 

Note: This feature is only available in Spectra.

In order to keep the size of your database more manageable, we recommend NOT storing these attachments in your database. Here's how to update that setting:
  1. Go to Maintenance > Preferences > Company (Studio) Preferences and open the Attachments page.

  2. In the top section, choose where the attachments should be stored. NOTE: This setting also applies to email attachments. See also: Company (Studio) Preferences - Attachments

  3. If choosing a network folder, browse to the folder and click OK.

  4. Click OK to save your preferences.


Viewing and Deleting Attachments

  1. Open the record with attachments (client, session, invoice, production order, or task.)

  2. Open the Attachments tab of the ribbon.

  3. Click View Attachments. 


    You can choose to:

    • View - Double-click to open an attachment.

    • Add - Open the browse window to add an attachment.

    • Delete - Remove existing attachments from the record. This will also delete the file from the location where your attachments are stored (i.e., Stratus Drive, database, or network folder).

  4. Click Save & Close on the ribbon to save your changes (or use CTRL-W).

 

Emailing an Attachment

You can easily email one of the client's attachments to them. Here's how:

  1. Open the client and create an email. See also: Sending Email

  2. Click Attach Attachment on the email ribbon.

  3. You'll see all attachments related to the client, whether they are attached directly to the client or to a session, invoice, task, or production order.

  4. Choose the attachment and click OK.

  5. Finish up and send the email!
