Setting up StudioPlus Mail

    
NOTE: This feature is available in the Standard, Professional, and Enterprise versions of both Spectra and myStratus Desktop.

So you want to get started with StudioPlus Mail? Just three easy steps will get you up and running!

Step 1 - Sign up for a StudioPlus Mail account.

Step 2 - Complete a few simple setup steps in Spectra/myStratus.

Step 3 - Send emails! All email you send, including transactional (single) emails and marketing (bulk) emails will be sent through the StudioPlus Mail service to SendGrid. SendGrid will track the email and deliver it to your client.

Follow the instructions below to set up StudioPlus Mail or watch the video to see it done step-by-step. 

Sign Up for StudioPlus Mail

The sign up process is built right into Spectra and myStratus. Follow these steps to sign up:

  1. Go to Maintenance > Preferences > Company (Studio) Preferences.
  2. On the General Info page, verify that your StudioPlus Account Number and Account Password are filled in. If not, fill them in and then restart the software before proceeding.



    HERE'S A FLASH FOR YOU!

    If you don't know your account number and password, just open the Help menu in the software and click Email Tech Support. Ask us for your account number and password in the body of the email (not just in the subject line). The email will automatically contain the information we need to get you the account number and password.

  3. Now open the Email page in Company (Studio) Preferences.

  4. Check StudioPlus Mail in the Email Options section at the top.
  5. Click Sign Up to open a new signup window.

  6. In the signup window, open the Company Details tab. Some of the fields will automatically be filled in with information from the General Info page of your Company (Studio) Preferences. Complete any missing information, including the Studio Email Address you want to send email from (if missing). This can be any existing email address.

  7. Open the Account Details tab and complete the following:

    • Username - Create a username. This will also be used to log in to your SendGrid portal.

    • Password - Create a password. This will also be used to log in to your SendGrid portal.

    • Email Plan - Choose the email plan that meets your needs. You can adjust your plan at any time. See Managing StudioPlus Mail for more information.

    • Time Zone - Select your time zone from the drop-down list.

  8. Accept the Terms of Use and click Sign Up to complete the process. We'll take care of the following:
    • StudioPlus will create a SendGrid account for you.

    • The StudioPlus Mail service will be added to your StudioPlus account at the level you select.

  9. At this point, all future emails will be processed through StudioPlus Mail.

 

Set up StudioPlus Mail in Spectra/myStratus

There are several items that should be set up in the software.

  1. Spectra users must turn on the StudioPlus Mail job in the Control Center. Note for myStratus users: This job is automatically enabled and managed for you by StudioPlus - you can skip the next step!

  2. Go to Utilities > Control Center and enable the StudioPlus Mail job to run hourly each day. See also: Control Center

  3. Both Spectra and myStratus users should continue by setting up some studio-wide settings.

  4. Go to Maintenance > Preferences > Company (Studio) Preferences and open the Email page. 

  5. Make sure you've checked StudioPlus Mail and have completed the signup process. The Studio Email, Username, Password, and Plan fields should already be filled in with the information entered during the signup process.

  6. Then choose which tracking options you would like to use:

    • Open Tracking - Check this option to track how many emails are opened by your clients.

    • Click Tracking - Check this option to track how many links are clicked by your clients.

    • Subscription Tracking - Use this option to automatically include a link at the bottom of your emails that allows your clients to unsubscibe from your email lists.

    • Omit Unsubscribe Links from Transactional Email - Check this option to omit the unsubscribe link from transactional (single) emails sent to the client.

    • Bypass Blocks for Transactional Email - Use this option to send transactional (single) emails to a client's email address even if it is on one of the block lists (unsubscribe, bounce, or spam report).

  7. Choose the options you wish to use for confirmation emails:


  8. HERE'S A FLASH FOR YOU!

    Confirmation emails are a feature of the StudioPlus Mail service. Send your clients a confirmation email with a link to confirm their appointment or session. That confirmation is automatically recorded in Spectra/myStratus. See Confirmation Emails for details about using this feature.

    • Session Confirmations

      • Check Confirmed Checkbox - Check this option if you want the session's Confirmed checkbox to be updated when the client has clicked the email link to confirm their session.

      • Session Status - Choose a session status if you want the status of the session to automatically be changed when the client has clicked the email link to confirm their session.

      • Landing Page - Choose whether you want your clients directed to a default landing page or a custom landing page on your own website.  

    • Appointment Confirmations

      • Check Confirmed Checkbox - Check this option if you want the appointment's Confirmed checkbox to be updated when the client has clicked the email link to confirm their appointment. 

      • Landing Page Choose whether you want your clients directed to a default landing page or a custom landing page on your own website.

  9. Click Update when finished making your selections.

Optional Setup

The email address you send emails from can be overridden at both the workstation and user levels. Here's how to set that up:

Workstation Preferences

Enter a different email address at the workstation level to override the company email address.
  1. Go to Maintenance > Preferences > Workstation Preferences and click the Email tab.

  2. Enter the Email Address and Display Name. Note: This email address will be used for any emails sent from this workstation unless it is overridden by a user-specific email address (see the User Preferences section below).

  3. Click OK when finished.

User Preferences

Enter a different email address at the user level to override the company email address, as well as any workstation email address that has been setup.

  1. Go to Maintenance > Preferences > User Preferences and open the Email page.

  2. Enter the Email Address and Display Name. Note: This email address will be used for any emails sent by this user, regardless of the workstation.

  3. Click OK when finished.
