ATTENTION!                 

As of June 30th, 2018, TSYS credit card processing is only available in version 2018 or greater of StudioPlus Spectra and myStratus. This requirement is a result of the PCI Security Standards Council deeming TLS 1.0 to no longer be secure enough for credit card processors. Current versions of Spectra and myStratus have been upgraded to use the latest TLS 1.2. Click here to read our full blog post on this change.

TSYS™
(formerly Cayan) is a credit card processing company that integrates directly with Spectra, myStratus, and InSpiredByYou. TSYS is available in the United States only. The following instructions show you how to complete a credit card transaction in Spectra/myStratus Desktop with TSYS. The steps in this process must be completed for the transaction to be valid. 

About Credit Card Swiping

You may wish to use a USB card reader to enhance your credit card processing and to lower your credit card processing fees. The card reader connects direct to the USB port of your computer and eliminates the need to manually key in card numbers. 

Two types of credit card readers can be used – encrypted and non-encrypted. In the past, many StudioPlus clients received a standard non-encrypted reader. These readers continue to function with the newer credit card processing methods incorporated in the current versions of Spectra and myStratus Desktop. However, all new card readers provided by TSYS will be the encrypted type. Encrypted readers will encrypt the sensitive card details immediately in the reader hardware before the data ever reaches the computer, providing an additional level of security for your business. HERE'S A FLASH FOR YOU!

Your credit card setup and processing in Spectra, myStratus, and InSpiredByYou will be displayed based on the regional settings of your computer. It is important to set up your credit card account credentials correctly in Company (Studio) Preferences with the information given to you by TSYS. This will enable your credit card settings to show the appropriate regional information (e.g., monetary rates, values, and formats, as well as language differences). Usually computers sold in the region you're located will be set to the correct region by default. If, however, you have clients from other regions, you may wish to advise them that your credit card processing is using your regional standards.

Required Setup

Before you can process credit cards with TSYS through Spectra, myStratus, or InSpiredByYou, you need to establish a TSYS account and get things set up. Refer to Company (Studio) Preferences - TSYS Credit Cards (US) for complete instructions. 

Processing Credit Cards Using TSYS

  1. When creating a payment Spectra/myStratus, select a credit card payment method from the Payment Methods list. See also: Creating a Payment


  2. Two addition buttons will be available - Get Swiped Card and Get Keyed Card.

    Follow the appropriate instructions below:

    • Get Swiped Card - Click the "Swiped" option if your client is with you and you have the ability to swipe their credit card. When clicked, you will be presented with a window provided by TSYS. Once open, you can proceed to swipe the card using a card reader, either encrypted or non-encrypted, purchased from TSYS.

      ATTENTION!

      By default, each workstation will use the TSYS web interface. If one workstation will be using a Genius Customer Engagement Device, the IP address for the device must be entered on the Credit Cards tab of the Workstations Preferences. See also: Workstation Preferences - Credit Cards


    • Get Keyed CardClick the "Keyed" option if your client is not with you and you are taking the card details over the phone. When clicked, you will be presented with a window provided by TSYS. Once open, you can proceed to manually enter the card details and then click Submit.


  3. Once the card has been submitted (either by swiping or keying it in) you will be presented with a message box telling you if the transaction was approved or declined. If the transaction was authorized, the payment record will be saved automatically to prevent the user from exiting out and not saving the record. 

       

    NOTE: Once a credit card is authorized, the payment amount will be locked by default. Only users with the appropriate security clearance will be able to unlock the payment amount, authorization code, and authorization date by clicking the padlock.

Processing TSYS Credit Card Refunds

When processing a refund, TSYS and Spectra/myStratus requires the user to select the payment record that should be refunded. You can refund any amount up to the amount of the original payment. If you have multiple payments you want refunded, you’ll need to create a separate refund for each payment.

Settling your Spectra/myStratus Credit Card Batches with TSYS

Your account with TSYS should be set up to automatically settle at the end of each day. If not, you may contact TSYS and request automatic settlement. You can also request the time of day that the automatic settlement occurs.

Even though the settlement occurs automatically, it is highly recommended that you verify each of your batches in Spectra/myStratus to ensure that the payments in the software are in balance with TSYS. Here is the recommended procedure:

  1. Customize your End of Day Wizard so that similar payment methods are grouped and posted together. For example, if your MasterCard and Visa transactions are deposited into your bank account as a single deposit, then group them to appear on the same page of the wizard. If American Express is deposited into your bank as its own deposit, then set American Express to appear on its own page. Click here for more information on customizing your End of Day Wizard.

  2. Either at the end of your business day or at the beginning of your next day, perform an End of Day Posting. Click Tools > End of Day WizardIf you are posting before you receive your settlement email you’ll need to open the TSYS gateway to get your totals for the day. If you are posting after receiving your settlement email you can use that. Either way, compare the totals showing in the Spectra/myStratus End of Day Wizard with the batch totals provided by TSYS. Ensure that all totals match. If not, you have an opportunity to correct your mistakes before completing the posting wizard.
