Exporting Clients

It is easy to export your entire client list, a partial list, or just a few key client records. The software exports to comma delimited text files (.txt or .csv), that can be opened by applications outside of the software.

Note: The video below demonstrates how to export a group clients, as well as how to delete a group of clients. If you want to delete a group of clients, refer to Deleting a Group of Clients  for instructions.


           

HERE IS A FLASH FOR YOU!

You may find that you can use the tools and utilities included in both Spectra and myStratus Desktop without the need to export a client list for outside applications. Letters, emails, forms, and a host of marketing and advertising capabilites are described in the following: Communication, Marketing, and Client Loyalty Programs.

  1. To export clients, choose Export Clients from the Utilities menu. 

  2. The Export Clients Wizard will launch. Select the Next arrow at the bottom right. Or, click Cancel to quit the wizard.

 

  1. Use the drop-down list at the top to choose a what type of clients you wish to export. Choose Client Group, Client Status, Marketing Plan, or Filter.

  1. Now check the box(es) of the specific group(s), status(es), or marketing plan(s) you would like to export, or choose a specific filter. See the Filters section for more information about creating filters.

  1. Click Next when you have finished your selections. 

  2. A confirmation page appears, giving you an opportunity to edit your selections on a client-by-client basis. In the upper-left corner you can see how many clients have been selected for export (in this case 11). The Process column in the grid shows a checked box for each included client. You can check/uncheck individual clients or use the Select All and Deselect All tools in the upper-right corner to make sweeping changes, such as when you have deselected several clients individually and would like to change them all back. 

       

  1. Take time to review the names for:

    • Duplicate entries or more than one person in the same family (i.e., for a mailing to one person per family).
    • Unintended entries you don't want to include.
    • Missing data that disqualifies it from the list (i.e., perhaps missing phone numbers in a list you're exporting specifically for calls).
    • When you have completed your review, click Next.            
  2. The following page allows you to choose exactly what information you want exported for each client. Check or deselect any of the Data Fields To Export. In many cases you will want to check the Exclude clients where "Allow Marketing" is not checked option at the bottom of the page. Choose the File To Export entry line at the top.


  1. An export window will appear. Be sure to note where on your computer the file is being saved so you can locate it later.


  1. Enter or accept the default File name (if there is a default one) and check to see that the file extension is the one you want (.tst, .csv).

  1. The final page of the wizard gives you another chance to go back and make changes. 

  2. Click Back to make changes on previous screen or click Finish to complete the export process.

  3. Congratulations! You can find your exported list where you placed it in step 9.
